Profiling of Work:

Position: Conference Operations & Stakeholder Coordinator
Project: 17th International Living Lakes Conference 2026
Jointly Organised by: Nature Environment and Wildlife Society (NEWS) & Global Nature FUND, Germany
Duration: 10 Months

1.⁠ ⁠Purpose of Engagement: To lead and coordinate logistics, stakeholder engagement, programme support, and operational execution of the 17th International Living Lakes Conference 2026 in collaboration with GNF, external consultants, partners, and local authorities.

2. Responsibilities to be carried out:

A. Stakeholder & Institutional Coordination

  • Coordinate with NEWS / GNF Programme Committee, Advisory Group and partners.
  • Liaise with government departments, international delegates, and local authorities.
  • Facilitate communication with donors, sponsors and strategic partners.
  • Coordinate with civil society organisations and Living Lakes network members.
  • Travel for stakeholder meetings and coordination as required.

B. Programme & Content Support

  • Support speakers integration and coordination with them (national & international).
  • Assist in tracking abstracts, presentations and session requirements.
  • Assist in conference agenda finalisation.
  • Assist in coordinating technical session related activities .

C. Logistics & Operations

  • Coordinate for arranging venue, accommodation, transport and field trip (with consultant).
  • Manage registration database, darfting and sending invitation letters.
  • ⁠Facilitate visa documentation for international participants.
  • Supervise on-site operations during conference days.
  • Ensure health, safety and accessibility compliance.

D. Communication & Documentation

  • Coordinate with NEWS /GNF communications teams on content inputs.
  • ⁠Support media engagement and prepare materials.
  • Ensure sponsor visibility with their brand.
  • Assist in preparation of conference report and follow-up documentation.

E. Monitoring & Reporting

  • Maintain workstream tracking sheet.
  • Collect participation and feedback data.
  • Support post-conference reporting and documentation.

3.⁠ ⁠Deliverables

  • Stakeholder coordination tracker
  • Monthly progress report
  • Participant & visa documentation database
  • Field visit coordination plan
  • On-site operational plan
  • Post-event final report

Compensation:
The consolidated professional fee for this assignment shall be in the range of INR 55,000 – 60,000 (Rupees One Lakh to One Lakh Fifty Thousand only) per month for a period of 9 months, based on essental qualification and relevant experience.
Applicable taxes shall be deducted or paid as per prevailing statutory norms.
Travel expenses for stakeholder coordination and official conference-related engagements will be reimbursed as per organisational policy, subject to prior approval.

Reporting Line
Reports to: Conference Focal Point – NEWS

Works closely with: NEWS, External Consultant, Programme Committee, Communication Team

Mandatory Qualification & Experience

  • Experience in managing or coordinating conferences.
  • Strong stakeholder coordination and institutional liaison skills.
  • Experience in logistics and event management.
  • Excellent documentation and reporting skills.
  • Experience in handling international delegates and protocol.

Duration: 9–10 Months
Location: Kolkata

1.⁠ ⁠Purpose of Engagement

To support the Conference Operations & Stakeholder Coordinator in managing logistics, documentation, stakeholder communication, and operational execution of the 17th International Living Lakes Conference 2026.

2.⁠ ⁠Responsibilities

A. Coordination & Administrative Support

  • Assist in coordinating with internal teams, consultants, and partners.
  • Support communication with stakeholders, speakers, and participants.
  • ⁠Help schedule meetings and maintain coordination records.
  • Assist in maintaining contact databases of partners and delegates.

B. Programme & Session Support

  • Assist in managing speaker information and session schedules.
  • Support abstract tracking and documentation.
  • Help prepare session materials and speaker coordination notes.
  • ⁠Assist during technical sessions and programme implementation.

C. Logistics Support

  • Support coordination of accommodation, transport, and venue arrangements.
  • Assist in managing participant registrations and databases.
  • Support preparation and sending of invitation letters.
  • Assist in documentation required for international delegates (visa letters etc.).
  • Support coordination of field visits and study tours.

D. Communication & Documentation

  • Assist in preparing communication materials and documentation.
  • Support coordination with communication team for media and publicity.
  • Assist in maintaining documentation of conference processes.
  • Support preparation of reports and summaries.

E. On-site Conference Support

  • Assist in operational coordination during conference days.
  • ⁠Support registration desk and participant management.
  • Assist in coordination with vendors, venue staff, and volunteers.

3.⁠ ⁠Deliverables

  • Updated participant database
  • Stakeholder coordination records
  • Logistics tracking sheet
  • Session documentation support
  • Conference documentation and reporting support

4.⁠ ⁠Compensation
The consolidated professional fee for this position will be INR 35,000 – 40,000 per month, depending on qualifications and relevant experience.
Applicable statutory deductions will be made as per organisational norms.
Travel expenses for official conference-related work will be reimbursed as per organisational policy, subject to prior approval.

5.⁠ ⁠Reporting Line
Reports to: Conference Operations & Stakeholder Coordinator
Works closely with: NEWS Team, External Consultant, Communication Team, Programme Committee

6.⁠ ⁠Essential Qualification & Experience

  • Master’s / Bachelor’s degree in Environmental Studies, Social Sciences, Event Management, Communication, or related field.
  • ⁠1–3 years of experience in event coordination, project support, or programme management.
  • Strong organisational and communication skills.
  • Ability to manage documentation and databases.
  • Willingness to travel and support field coordination if required.
